What does a live event activation cost?

The number nobody publishes, published: real ranges, what's inside them, and the four levers that move your quote up or down.

Most live merch printing activations land between $7,500 and $30,000 all-in. That range covers the crew, the presses and stations, the garment blanks, and the artwork preparation — the complete production, not an equipment rental with asterisks. Where you fall inside the range comes down to four levers: guest count, hours of service, format mix, and travel.

The four levers, in order of weight

  • Guest count. The biggest driver, because it sets garment volume and crew size. Three hundred shirts is a different production than fifteen hundred.
  • Hours of service. A two-hour cocktail window and an all-day trade-show booth book different crews. Setup and teardown are part of the production either way.
  • Format mix. A single screen-print press is the efficient core. Adding a hat bar, embroidery, or engraving adds equipment and specialists — and a second line that halves everyone’s wait.
  • Travel. Orange County, Los Angeles, and San Diego carry no travel fee. Outside SoCal, travel joins the quote as its own transparent line.

What the tiers look like in practice

Around $7.5K–$12K: a focused single-format activation — one press or one hat bar, a few hours of service, a couple hundred guests, SoCal venue. Around $12K–$20K: the standard two-station build — two printers, several hundred garments, branded booth dressing, a full evening or show day. Around $20K–$30K: multi-format productions — press plus personalization station plus a premium lane like embroidery, four-figure guest counts, multi-day runs, or out-of-state travel.

What’s deliberately not in our pricing

No published hourly rates — because hourly framing punishes you for a successful event. A project quote means the number you approve is the number you pay whether the line is steady or slammed. There are also no garment markups hiding in a separate invoice and no “art fees” appearing after the handshake: blanks and print-ready art prep are inside the quote. The only post-quote variables are scope changes you ask for.
